                                 Constitution

 

  1. The name of the club shall be Culloden Moor Football and Coaching Club, hereinafter known as “the Club”.

  2. The objectives of the Club shall consist of the following:

     

  3. MEMBERSHIP

    The membership of the Club shall be open to residents of Balloch and the surrounding area.

    A member shall be defined as being the mother or father or guardian of a registered player regularly participating in the activities of the Club, or a Coach appointed by the club. The Club Secretary will maintain a register of all players and Coaches.

    All players shall be required to pay an annual registration fee in August of each year. A weekly fee will also be payable at each coaching session. All fees will be reviewed and set by the Committee annually.

  4. The affairs of the Club are to be conducted by the Club’s Committee, elected at the Annual General Meeting. The Committee shall consist of 7 members, comprising 3 office-bearers (Chairperson, Secretary and Treasurer) and a further 4 ordinary members. The committee shall include a minimum of two members of the coaching staff, who shall be appointed Director of coaching and Assistant Director of coaching at the first committee meeting following the AGM.

    The office-bearers shall hold office for a period of 3 years, but will be eligible for re-election at the end of that period. Ordinary members will be elected annually at the Annual General Meeting and will hold office until the end of the next Annual General Meeting.

    Former office bearers will be honorary members of the Club and will be eligible for re-election to the Committee.

    The committee may make further rules to govern its activities and those of the Club provided they are not inconsistent with the terms of this constitution.

  5. Nominations for election of members to vacant positions on the committee will be requested from the members present at the AGM. Each nomination shall be seconded by another member.

    Should nominations exceed vacancies, elections will be by ballot during the annual meeting.

    A member who has registered more than one player will be entitled to one vote per registered player.

    The Committee may appoint one of their number in place of any resigning office bearer for the unexpired term of office.

  6. The Committee shall meet not less than 5 times per year, including the Annual General Meeting. At an authorised Committee Meeting, 4 members shall constitute a quorum.

    The Chair at all Committee meetings shall be taken by the Chairperson. In his/her absence the Committee is empowered to appoint a temporary Chairperson. The Committee will make decisions using a simple majority vote, each person having one vote. The Chairperson shall have a vote and, in the event of a tied vote, the Chairperson shall have the casting vote.

    Minutes of Committee meetings are to be maintained formally and to be made available to the Club members on request.

  7. The Annual General Meeting (AGM) shall be held in January of each year, or at such time as the Committee shall determine, being not more than 15 months after the preceding AGM.

    At the AGM the business shall include:

    The Secretary shall give at least 7 days’ notice in writing to members of the date of the AGM. The quorum at the AGM shall be 15 members including the office-bearers. Matters to be decided by a simple majority vote, the Chairperson having the casting vote.

  8. The Committee may call an Extraordinary General Meeting when required or when a minimum of half of all the current paid up members request one in writing.

    The Secretary is to notify the members of the club the date of the Extraordinary General meeting and of the specific object of the meeting.

    Any such meeting will be held within one month of the written request received by the Secretary.

  9. Club funds are to be held in a bank account managed by the Treasurer. Designated account signatories shall be the 3 office-bearers. No sum shall be drawn from the Club account, except by cheque signed by 2 of the 3 designated signatories. All monies payable to the Club shall be received by the Treasurer and deposited in the Club account.

    The Committee shall have the power to authorise the payment of remuneration and expenses to any member of the Club and to any other person(s) for services rendered to the Club.

  10. The provisions of this Constitution may be amended at an Annual General Meeting by resolution passed by two-thirds majority of the members present and entitled to vote. Any such resolution must be notified to members at the same time as notification of the AGM.

  11. The Club may be dissolved at a special meeting called for this purpose, for which at least 21 days written notice shall be given. The resolution must be passed by two-thirds majority of the members present and entitled to vote. In the event of dissolution the Committee shall be the body responsible for the orderly winding up of the Club’s affairs. After the satisfaction of all debts and liabilities, the Committee shall transfer any remaining funds and assets to such other organisation(s) having objectives similar to that of the Club.

  12.                                                                  Policy On Protecting Children

    The Culloden Moor Football & Coaching Club aims to ensure that any children are protected and kept safe from harm while they are with volunteers in this organisation. In order to achieve this we will ensure our volunteers are screened.

     Selection

     All volunteers involved in the running of the club will complete an application form.

    Screening

     All volunteers working in a child care position (as defined in schedule 2 of the Protection of Children (Scotland) Act 2003) will be required to complete a Standard or Enhanced Disclosure Certificate before the volunteering post can commence.

     Induction 

    All volunteers will receive an induction to the club, which will give an overview of the organisation and ensure they know its purpose, values, services and structure.

     Supervision

     All volunteers will have their performance monitored by the clubs committee.

     The Culloden Moor Football & Coaching Club will ensure that all volunteers involved are aware of this policy and have received support to ensure its full implementation.
